For the smaller businesses with only a few employees, the best choice would be a KSU-less system, KSU standing for key system unit. These systems are still rich in features and functions, in spite of the low initial cost you have to pay. There are differences between the typical phone system and phone systems that don't utilize a KSU. Instead, the actual handsets provide commercial phone system features, instead of connecting to a central control unit.
If your company has more employees and more capital, a key system would work just fine, with even more features and ability to expand up to 35 handsets. Since these phone systems now have the key system unit or KSU in place, this makes it easier to manage incoming and outgoing calls, and the entire network of phones in the business in general. In recent years, key systems have become so advanced that many rival PBX systems in terms of standard features and customization.
For large companies with over 35 to 40 employees, a PBX system is the way to go. PBX systems are even more functional than key system and KSU-less systems, and offer more customization than the aforementioned two. A PBX central terminal controls all phone systems in the same manner that a key system does, but can do so for a substantially greater number of phones. Almost all PBX systems come with the standard features necessary for phone system operations as they pertain to large businesses. Regardless of the nature or needs of your business, you can configure PBX systems to meet the standards set by your big company. But with such a powerful commercial phone system comes a steep price, more than your usual key or KSU-less system. If you're running a large company with a high number of employees, there isn't any better choice for you than the PBX system.
To sum it all up, you need to be familiar with your business' needs (the concept of lines and extensions) and the number of people you have working for you to choose the right phone system. Lines are the number of outside phone lines your phone system can simultaneously connect to. Extensions, on the other hand, would be required for every handset in your company that you need to connect to the phone system. Find out how many lines and extensions you need, and what they are, and you should be good to go.
